A wrong name. A date of birth entered incorrectly. A parent's name with a spelling error. On paper, these look like minor issues — but when a birth certificate carries an error, it can block passport applications, cause mismatches with Aadhaar, create problems in school admissions, and complicate legal matters for years.
If your birth certificate — or your child's — has an error on it, you can get it corrected. Punjab has an online process for this, and in most cases you don't need to go to multiple offices or wait for months. This guide explains exactly what to do, depending on what kind of error it is.
Types of Errors — Minor vs. Major
Not all corrections are treated the same. The process depends heavily on what kind of error needs to be fixed.
Minor / Clerical Errors
These are the most common and easiest to get corrected:
- Spelling mistake in the child's name
- Spelling error in a parent's name
- Small typographical errors that are obviously clerical in nature
Minor errors can usually be corrected online with supporting documents and an affidavit, without needing a Gazette notification.
Major Changes
These require more documentation and sometimes a Gazette notification:
- Changing the date of birth
- Changing the child's name entirely (not just fixing a spelling)
- Correcting the father's or mother's name where it's substantially different
- Adding a name that was left blank at the time of registration
If you're not sure which category your correction falls into, it's worth checking with the Sewa Kendra or contacting Punjab Saathi — going in with the wrong classification can cause unnecessary delays.
What Happens If You Leave It Uncorrected?
People often put off corrections because the process seems complicated, or because the certificate "mostly works." But errors compound over time:
- Passport: The passport office cross-checks your birth certificate against Aadhaar and school records. A name mismatch causes delays or rejection
- Government jobs: PPSC, PSSSB, and other recruitments verify birth certificates carefully — an error can flag your application
- Marriage certificate: The bride's or groom's date of birth on a birth certificate is matched at registration
- Immigration and visa: Any document inconsistency in immigration matters is treated seriously
The earlier you correct it, the easier it is — especially before the certificate has been used in multiple other documents.
Who Can Apply for a Birth Certificate Correction?
A birth certificate correction is normally requested by the person named on the certificate if they are an adult, or by a parent or guardian if they are still a minor. The request goes to the same local registrar that issued the original certificate.
What you can change depends on the type of error. Small clerical mistakes such as a spelling error are generally easier to correct, while changes to a name, date of birth or parents' details need stronger supporting documents and may require additional verification. The section on minor versus major errors above explains which category your case falls into.
Documents Required for Birth Certificate Correction
Have these ready before you start the correction application:
- Existing birth certificate — the one with the error on it
- Hospital discharge summary or birth slip — the original document from the time of birth, showing the correct details
- Aadhaar card of the child (if available) — and both parents
- School records — Transfer Certificate (TC) or marksheet showing the child's correct name and date of birth
- Affidavit on ₹10 stamp paper — stating clearly what the current error is and what the correct information should be; signed before a notary or magistrate
- Gazette notification — only if required for major changes; the Sewa Kendra will tell you if this applies
If the error on the certificate is clearly a government or hospital mistake, mention this specifically in your affidavit — it doesn't remove the requirement to apply, but it's part of the official record.
If your Aadhaar also has incorrect details because it was linked to the wrong birth certificate, you'll need to update that separately. See our Aadhaar Update / Correction service for that.
Fee for Birth Certificate Correction in Punjab
Based on Sewa Kendra records, the typical fee for a birth certificate correction in Punjab is approximately ₹180 — this covers the processing charge and the corrected certificate copy.
For corrections requiring a Gazette notification, additional publication fees will apply separately. Always confirm the current fee at the portal or Sewa Kendra counter at the time of applying, as government fees can be revised.
How to Apply for a Birth Certificate Correction Online — Step by Step
Step 1: Go to esewa.punjab.gov.in or connect.punjab.gov.in
Step 2: Log in with your mobile number or email. Register if you don't have an account yet.
Step 3: Go to Civil Registration Services
Step 4: Select "Birth Certificate Correction Request"
Step 5: Enter the details from the existing certificate — the name, date of birth, and other information exactly as it currently appears (including the error)
Step 6: Enter the correct information — what it should say after correction
Step 7: Upload your supporting documents: existing birth certificate, hospital birth record / discharge summary, school records (TC or marksheet), affidavit on ₹10 stamp paper, Aadhaar of parents
Step 8: Pay the fee online and submit
Step 9: Note your application reference number — use this to track the correction status
Once submitted, the Registrar of Births and Deaths reviews the application. For minor clerical corrections, this typically takes 7 to 15 working days. For major changes, it may take longer.

If you'd prefer to handle this in person, or if you're applying on behalf of someone who isn't comfortable with online processes:
- Visit your nearest Sewa Kendra or Suwidha Centre

- They'll provide the correction form — fill it in with current (wrong) details and the correct information

- Collect your acknowledgment slip with the reference number

How to Track Your Correction Status
After submitting:
- Go to connect.punjab.gov.in or esewa.punjab.gov.in
- Click "Track Application"
- Enter your application reference number
- Your current status will show
How to Download the Corrected Certificate
Once the correction is approved:
- Go to esewa.punjab.gov.in
- Click "Certificate Download"
- Enter your Application ID and captcha
- Download the corrected digitally signed PDF
The corrected certificate is legally valid and carries a QR code for verification — no physical seal or manual signature is required for government use.
What If They Tell You to Apply Fresh?
This is a common frustration — some Sewa Kendra staff or even portal officials sometimes suggest just applying for a new certificate afresh instead of going through the correction process.
If the error is on an existing registered certificate, a fresh application doesn't replace it — the error still exists in the government records. The correction process exists specifically to fix this. Stand your ground and ask for the correction process, not a fresh application.

Special Case: Name Was Left Blank at Birth
In some cases — particularly for older registrations — the child's name was left blank because it hadn't been decided yet at the time of registration. In Punjab, adding a name to an existing blank-name birth certificate is treated as a name inclusion, and a nominal late fee of approximately ₹5 applies. This is handled through the same eSewa Punjab portal under the name inclusion / correction section.
Common Mistakes to Avoid in a Birth Certificate Correction
- Uploading blurry documents — the reviewing authority needs to clearly read the hospital record and affidavit; unclear scans are one of the most common rejection reasons
- Affidavit not notarized — the affidavit must be signed before a notary or magistrate; a self-signed letter is not accepted
- Wrong portal section — make sure you're in 'Birth Certificate Correction', not 'Birth Certificate Apply'; these are two different services
- Not checking if Gazette is needed first — for date of birth changes, submitting without a Gazette notification when one is required will delay the process significantly
Documents to Update After a Birth Certificate Correction
Correcting a birth certificate sometimes triggers the need for updates in connected documents. Here's what we help with:
- Aadhaar Update / Correction — if your Aadhaar was registered with the wrong details from the birth certificate
- Passport Apply — once your birth certificate is corrected, you can move forward with your passport
- Caste Certificate (ST/OBC/EWS) — often needed alongside corrected documents for government scheme benefits
- Marriage Certificate — if a birth certificate correction affects a previously filed marriage registration
- Residence / Domicile Certificate — sometimes required in conjunction with corrected civil registration records
